Is that so...</title><content type='html'>The &lt;span style="font-weight:bold;"&gt;c u s t o m e r&lt;/span&gt; is always right, &lt;span style="font-weight:bold;"&gt;r i g h t? W r o n g&lt;/span&gt;. Clients can make insistent requests that would actually be detrimental to their business or intention. This usually happens if the client is inexperienced or misinformed in your field of work. Sometimes the cause is simply bad taste. Most of us have probably encountered more than our share of these clients. You can recognize this type of client easily, especially &lt;span style="font-weight:bold;"&gt;when they’re telling you the following things&lt;/span&gt;:&lt;br /&gt;&lt;br /&gt;“ Can we put frames and flashing images on my website? I like the way they look.”&lt;br /&gt;&lt;br /&gt;“ Maybe if you use red, orange, and purple on my logo it’d look more harmonious and professional.”&lt;br /&gt;&lt;br /&gt;“ I want my business press release to start with a poem my 5 year old son wrote.”&lt;br /&gt;&lt;br /&gt;&lt;span style="font-weight:bold;"&gt;S o u n d s    f a m i l i a r&lt;/span&gt;, right? Due to the destructive nature of these requests, I’ve learned to call these types of clients “Self-Destructing Clients”. They want us to deliver the best results, but their requests are preventing their own success. My experience with these clients taught me so many lessons that I now know how to nip the problem in the bud, fix existing problems, and communicate better. Hopefully, you can learn from my own experiences rather than going through that difficult road yourself.&lt;br /&gt;FreshBooks&lt;br /&gt;&lt;br /&gt;&lt;span style="font-weight:bold;"&gt;R e c o g n i z e&lt;/span&gt; these clients before you sign the contract&lt;br /&gt;&lt;br /&gt;The first thing you can do is to recognize the Self-Destructing Client the minute they walk into the door. If you do most of your work online, you need to do this within a couple of emails. For example, you may receive a query about your web design services. Your potential client might say “I want you to make me a page that looks like this”, with a link to a website that looks like it was made in 1997. It has a background MIDI file playing, flashing bright yellow cursive text, and frames. It would’ve given anyone conjunctivitis. Apparently, this is what your potential client wants.&lt;br /&gt;&lt;br /&gt;Now, this request wouldn’t be a big deal if your potential client wanted a page where design wasn’t very important. However, design will be the primary factor if the client also wants a “professional look” that would make their business look established, as if it were a Fortune 500 company.&lt;br /&gt;&lt;br /&gt;Obviously, either this prospect has bad taste or hasn’t been looking at websites of Fortune 500 companies. This person is obviously a Self-Destructing Client.&lt;br /&gt;&lt;br /&gt;As you’ve probably noticed, it’s easy to spot Self-Destructive Clients based on their examples of the desired finished product. &lt;span style="font-weight:bold;"&gt;You can automate this step by including it in your standard client questionnaire. (You have one, right?) &lt;/span&gt;Apart from basic contact information, it should also include the following: “List down 3 websites/ illustrations/ articles that best represent what you want me to do:” Your potential client’s answers will give you a better look at their expectations and their understanding of what you can do for them.&lt;br /&gt;&lt;br /&gt;Now that you have a Self-Destructing Client on your hands, what do you do?&lt;br /&gt;&lt;br /&gt;If you haven’t signed the contract yet, it helps to educate the client about what’s best for her needs. &lt;span style="font-style:italic;"&gt;You don’t do this by writing her a lengthy email that resembles a college course for your field&lt;/span&gt;. &lt;span style="font-weight:bold;"&gt;Here are some tips on how to show a Self-Destructing client that her requests are bad for business:&lt;br /&gt;&lt;/span&gt;&lt;br /&gt;&lt;br /&gt;    &lt;span style="font-weight:bold;"&gt;* Give it a polite start.&lt;/span&gt; Try to give your message in the most tactful way possible. “Although the examples you listed are great, they don’t seem to be the best solution for you right now.”&lt;br /&gt;    &lt;span style="font-weight:bold;"&gt;* List the reasons&lt;/span&gt; why you think that your client’s examples aren’t ideal, and support your statements. Don’t just say “Because yellow text on black background hurts my eyes”. Not only is that insulting, but you’re also implying that she has bad taste. Instead, say “Other design options are better” and link to a study or news item that shows research about blue (or some other color) being the optimal choice if you want to give a professional impression.&lt;br /&gt;    * Give your own examples of what would work best. At the end of the email, make your own example list of what will work better as a finished product (preferably, use similar companies or organizations).&lt;br /&gt;    * Make it short. Your client probably doesn’t have the time or patience to read a lengthy email. Plus, writing lengthy explanations can sound self-indulgent.&lt;br /&gt;&lt;br /&gt;Doing this will gain your potential client’s trust, especially since you’ve just displayed that you are truly knowledgeable in your field. If she still hesitates, you can show her the work you’ve done for previous clients as “case studies” – and make them sound as good as they really are. “ABC Company wanted the same things you did at first, but I just applied my expertise and they’ve just told me a month ago that my redesign caused a 200% increase in sales.” Sometimes, educating the client and showing case studies is enough for them to go from self-destruct to success.&lt;br /&gt;&lt;br /&gt;&lt;span style="font-weight:bold;"&gt;What if my Self-Destructing Client is very insistent on these absurd requests?&lt;/span&gt;&lt;br /&gt;&lt;br /&gt;One thing you can do for stubborn Self-Destructing clients is to make them a deal. Tell them that you’re a real expert in your field and that you’ve seen good results repeatedly come out of your efforts. If they let you do it your way and they get the results they want – whether it’s sales, comments from visitors, etc. – then they get to keep the work you made. If they don’t get the results that they wanted, then you promise to redo everything their way, no matter how absurd the outcome (of course you don’t tell them the part about absurdity). Of course, this requires you to have the following things: a concrete way to measure results, unbreakable confidence in your own work, and the luxury of time to redo the project should they be unhappy with the results. If you’re delivering a high quality product, odds are they’d be happy with your work and recommend you to friends.&lt;br /&gt;&lt;br /&gt;Making this kind of deal is only a great solution if you really know, whether from experience or hard facts, that you can deliver the results they want. Otherwise, this would be a very risky move. Be sure that you are informed, skilled, and determined enough to make it work.&lt;br /&gt;&lt;br /&gt;Even if you offer potential clients this deal, some of them won’t want any part of it. In the end, either of you has to give in. At this point, it’s your call whether to accept the job or to tell your client that you obviously can’t give them what they want from you and that they should look for other freelancers who can. If you need the extra income, doing the job won’t hurt – just don’t add it to your portfolio if you don’t think it’s your best work. However, if you can afford to walk away from the job, I suggest that you do. Obviously, this person won’t trust your decisions and expertise. Accepting the job means encountering multiple frustrations along the way. Having a memorable URL is another big help here. If they can’t remember your URL, they can’t tell their friends where to find you without looking it up.&lt;br /&gt;&lt;br /&gt;8. Have Clearly Defined Services&lt;br /&gt;&lt;br /&gt;Sometimes your clients may know exactly what type of service you have provided for them, but they may not know about some of the other services that you offer. If your services are clearly defined and easily understood, the client might see an opportunity for you to help someone else.&lt;br /&gt;&lt;br /&gt;Your website is probably one of your key methods for communicating information about your services. How clearly defined are they? When a referral arrives at your website, will they be able to tell exactly how you can help them?&lt;br /&gt;&lt;br /&gt;9. Ask Clients for Feedback&lt;br /&gt;&lt;br /&gt;After you have completed a project, it’s a good habit to ask them for their thoughts on the service that you provided. Were they satisfied with your work to the extent that they would be willing to refer a friend? Are there areas that you can improve your work and your service? If you’re able to do a better job of satisfying your clients, you’ll get more referrals.&lt;br /&gt;&lt;br /&gt;10. Have a Competitive Advantage&lt;br /&gt;&lt;br /&gt;If your client is asked to refer a freelancer, what will make them choose you over someone else? Most of us have a great deal of competition with other service providers. Having an edge or a competitive advantage to separate yourself from the pack will pay huge dividends. Take the time to find something that sets you apart from the crowd, and make sure that it’s communicated through your marketing and promotion. As clients come to recognize your competitive advantage you will have a better chance of getting their recommendation.&lt;br /&gt;&lt;br /&gt;11. Thank People for Their Referrals&lt;br /&gt;&lt;br /&gt;When someone sends you a referral, take the time to let them know that you appreciate the fact that they thought of you, and let them know that it makes a real difference for you and your business. Friends, family, and clients will feel good about the impact that they’re able to have on your work, and hopefully they’ll look for even more opportunities to send business your way.&lt;br /&gt;&lt;br /&gt;12. Grow Your Professional Network&lt;br /&gt;&lt;br /&gt;In addition to relying on friends, family, and clients for referrals, developing a strong network of fellow professionals can make a world of difference. Those professionals may have clients that are in need of your services, they may have perspective clients that are looking for something they can’t provide, or the may just have more work than they can handle. The roads that are followed bring an abundance of information, continually adding to the entrepreneurial process and spirit.&lt;br /&gt;&lt;br /&gt;Visits to local small business centers can provide a wealth of support and encouragement. There is always flyers, newsletters and experienced staff to assist you with any questions or concerns.&lt;br /&gt;&lt;br /&gt;Another avenue that can be taken to contribute to your business’ success is becoming involved in networking groups. Most groups conduct weekly or monthly meetings, some more formal than others, which allow small business owners to share with each other their stories and experiences. It can create alliances that will benefit each business owner.&lt;br /&gt;&lt;br /&gt;For myself, a small business owner in Southern Ontario, Canada, the road to being an entrepreneur included the participation in the SEA (Self Employment Assistance) Program sponsored by Human Resources Development Canada.&lt;br /&gt;&lt;br /&gt;The SEA program offered, and is still offering, myself and my company a wealth of information and support. This program is available all across Canada. In Southern Ontario it is available in Brampton, Orangeville, and Toronto, as well as numerous other communities. The program consists of 10 weeks of in-class instruction which is performed by successful small business owners. The support then continues for one year with monthly networking meetings with the rest of the participants and one-on-one appointments with an instructor.&lt;br /&gt;&lt;br /&gt;Although this program is only offered in Canada, there are similar programs offered in most other areas, whether you are in the United States or anywhere else in the world. Check your local phone book or small business magazines for more information. For myself, the decision to become self-employed was something that just felt right at the time. I had spent a number of years running my father’s lawn care company from my home. During that time, I had helped friends, family and acquaintances with everything from typing projects for them to designing their marketing material. So when the time came for my dad to retire, it just seemed natural to do what I had been doing for many years....providing word processing and desktop publishing services Then, with the increase in the use of the Internet, I learned to design websites.&lt;br /&gt;&lt;br /&gt;So, if you are thinking of starting your own business, it is recommended that you do plenty of research. You have to see if the type of business you want to start is viable in your area. Is there a need for your product or service by the people or businesses in your community? Whether you will be looking for funding or not, you need to do a business plan. In the process of putting it together, you will have a better understanding of what you are doing and where you are going.&lt;br /&gt;&lt;br /&gt;If you need help with certain aspects when building your business, such as promotion or putting together influential marketing material, there are many companies that specialize in taking some of the pressure off of your shoulders. Not all will be listed in the phone books yet, so you need to keep your eyes and ears open for mention of these companies.&lt;br /&gt;&lt;br /&gt;Remember that not all small businesses are overnight successes. It takes plenty of work. Long hours with very little reward in the beginning. But, each time a new client or customer comes on board, you will feel butterflies in your stomach and a smile on your face. Use that feeling of exhilaration as your energy source and combine it with other relevant information that you acquire. Buyers want to pay as little as possible for the best quality work while sellers want to earn a fair rate of return on their investment of skills and time. Somewhere in the middle of those two needs lies a win-win situation if you are willing to look for it.&lt;br /&gt;&lt;br /&gt;Keep in mind as you read the following project pricing tips that they’re only guidelines. Oftentimes buyers are confused as to how to approach the task of setting a maximum bid for their projects. Hopefully the following information can help.&lt;br /&gt;&lt;br /&gt;&lt;span style="font-weight:bold;"&gt;Tip #1 - Don’t Set an Unrealistic Price&lt;/span&gt;&lt;br /&gt;&lt;br /&gt;As a buyer, you should strive to set a realistic price for the amount of work you are requesting. There are some buyers who set unreasonably low prices for complex work and there are sellers who will accept those prices. You should know however, that this type of "bottom fishing" is not without its risks.&lt;br /&gt;&lt;br /&gt;There will be times when you will get the job done according to specification even after setting and accepting a bid that you know was ridiculously low. Other times, however, you may find yourself on the losing end of the deal and either have the seller walk away without completing the project, or receiving work which is well below your expectations. In either case you'll end up seeking another seller to completely redo the assignment. If you’re a gambler and you’ve got time to spend and money to waste on this type of game, then play away.&lt;br /&gt;&lt;br /&gt;But at some level you need to think about the seller. After all, they’re probably relying on the money earned from your project to pay one of their bills. If you don’t accept the project after the seller put their time and effort into it, for whatever reason, that seller doesn’t get paid. The seller loses money and you will have lost valuable time. This is not a win-win situation.&lt;br /&gt;&lt;br /&gt;Time is money. And time should never purposely be wasted - neither yours nor the person’s with whom you’ve contracted.&lt;br /&gt;&lt;br /&gt;&lt;span style="font-weight:bold;"&gt;Tip #2 - Make You Needs Clear&lt;/span&gt;&lt;br /&gt;&lt;br /&gt;As a buyer, you also need to create a request for proposal that clearly describes what it is you need. Clear specifications almost always result in more accurate bids and help reduce disappointment which results from misunderstandings down the road.&lt;br /&gt;&lt;br /&gt;Sellers on GAF have many skills. But one skill no seller possesses is the ability to read your mind. So don’t make them! If you need programming done, and you forget to mention a major or even minor step that has to occur in the process, the resulting program won’t have it. It won’t be the seller’s fault; it will be yours. You can make the claim that you did not get what you expected, but you cannot withhold payment because you failed to accurately specify your expectations.&lt;br /&gt;&lt;br /&gt;Likewise, if you need the services of a copywriter, you need to specify the type of copy you need. Is the copy supposed to drive traffic to your site or is it supposed to generate sales? There is a difference. It’s also better to specify the word count you need not a word range, and also your preferred topics. Remember sellers are NOT mind readers. They’ll never select a topic that even closely resembles anything you have in mind.&lt;br /&gt;&lt;br /&gt;&lt;br /&gt;&lt;br /&gt;&lt;span style="font-weight:bold;"&gt;Tip #3 - Determine the Type of Project&lt;/span&gt;&lt;br /&gt;&lt;br /&gt;After you have clearly identified your project specifications, it’ time to begin work on setting the maximum bid. Try to determine whether the work you have is the type that’s better priced on an hourly basis or a per-project basis.&lt;br /&gt;&lt;br /&gt;There aren’t really any guidelines for making this type of determination, so there is no right or wrong determination. The goal here is to help you think more about how long the project will take to complete. If it’ll take X number of hours and the average hourly rate of the people who possess the type of skills you need is Y dollars, simply multiply out the numbers and you’ve got your maximum bid.&lt;br /&gt;&lt;br /&gt;The same reasoning applies if you’re basing your decision on a per-project basis. You probably have some idea as to what price a project such as yours would fetch “out in the real world” so use this figure as a basis for calculating your maximum bid.&lt;br /&gt;&lt;br /&gt;Just don’t approach the pricing with the belief that “someone who knows what they’re doing can do this in an hour” because unless you know first hand what it takes to do the project, you don’t know whether or not this statement is true.
